This template is for a landlord, homeowner, or household member who can personally confirm where someone lives. The writer should state their relationship to the resident, the address, and how long the resident has lived there. Check that the receiving organization accepts this type of letter.

Example wording

Proof of residency letter from a landlord

Fictional example: “I am the landlord of Alex Morgan. Alex has lived at 125 Example Street, Unit 2, Example City, since May 1, 2025. I am providing this confirmation at Alex’s request. You may contact me using the details above to verify this information.” Add the writer’s details, date, recipient, and signature.

Proof of residency letter from a family member

Fictional example: “I am Jordan Lee’s parent. Jordan lives with me at 48 Sample Avenue, Example City, and has lived here since September 2024. I can confirm this from personal knowledge.” The family member should use their own facts, contact details, and signature, and the recipient must accept this type of confirmation.

How to write a residency confirmation

  1. Confirm who can sign. Ask the recipient whether it accepts a landlord, homeowner, or household-member letter. Follow any required form or verification process.
  2. Explain the relationship. The writer should identify how they know the resident lives there. Do not claim to own or manage the property unless that is true.
  3. Confirm the address and dates. Include the unit number and accurate move-in date. Do not guess or promise how long the resident will live there in the future.
  4. Have the writer sign. The person confirming residence signs their own name. Attach only documents the recipient requires and keep a copy of the completed letter.

Before the writer signs

  • - Do not add the resident’s date of birth, ID copies, or a property deed by default. Ask what information is actually required.
  • - The resident can prepare a draft, but the writer must check the facts and sign it themselves.
  • - If an affidavit or notarized form is required, use the recipient’s instructions and an appropriate form. This simple letter is not presented as a sworn affidavit.

Who should write a proof of residency letter?

Use someone the recipient accepts who can personally confirm the residence, such as the landlord or a household member. The resident should not sign as though they were the confirming third party.

Can a parent or family member write it?

Only if the recipient accepts that form of confirmation. Explain the family relationship and shared address accurately. Some processes require separate documents showing the relationship.

What is the difference from a proof of address letter?

On this site, the proof-of-address template is a statement the resident writes about their own address. This residency template is confirmation written and signed by someone else. The recipient’s requirements determine which to use.

Do I need notarization?

Ask the receiving organization. This template does not include a generic notary certificate or claim to replace a required affidavit. Follow the correct signing and form requirements for the request.

What documents should be attached?

Only attach what the recipient requests and accepts. Do not automatically send identification copies or ownership records just because you are using a residency letter.

Will a landlord letter be accepted everywhere?

No. Acceptance depends on the organization and application. Check the current evidence list before relying on a letter, especially for government, banking, or school processes.
