How documents are uploaded, stored, used for mailing, and deleted on request

How We Handle Your Documents

This page explains saved documents, mailing fulfillment, service providers, and deletion options.

Encrypted Transfer

Connections to The Letter Pilot use HTTPS/TLS to encrypt data in transit.

This includes document uploads and other information sent between your browser and the service.

Saved Documents

Documents saved to an account remain in the Documents library until they are deleted or a deletion is requested.

Signed-in users can open, reuse, and delete saved files from the Documents page.

Mail Fulfillment

Files submitted for mailing are sent to the systems and print and mail provider needed to prepare the mailpiece.

The fulfillment provider may retain copies under its own policies and legal obligations.

Service Providers

The service uses third-party providers for hosting and databases, payment processing, print and mail fulfillment, analytics, and advertising.

Each provider handles data under its own terms, policies, and legal obligations.

Payment Processing

Stripe processes payment details. The Letter Pilot does not store full card numbers on its servers.

Billing and transaction information is handled as described in the Privacy Policy.

Deletion Requests

Delete saved documents from the Documents page or request deletion by email.

Include your account email and relevant order or document details so we can locate the files.

How a document moves through fulfillment

Encrypted Upload

Your document is transferred over HTTPS/TLS.

Save or Submit

A signed-in user can save a document to the Documents library. A mailing order sends its document to the fulfillment provider.

Printing and Mailing

The print provider prints, packages, and submits the mailing to USPS.

Retention and Deletion

Saved documents remain available until deleted or a deletion is requested. Some order records or provider copies may remain for operational, recordkeeping, security, or legal needs.

How Information Is Used

Document storage and deletion

Documents saved to an account stay in the Documents library until the account holder deletes them or requests deletion. Files submitted for mailing may also be retained for fulfillment, support, recordkeeping, security, or legal needs.

Raptive advertising

Raptive advertising is configured for public Guides, Tools, and Templates pages on the production site. Raptive collects and uses certain data for advertising on pages where its script runs. See our Privacy Policy and the Raptive privacy statement.

Security Questions

How long do you keep my documents?

Documents saved to an account remain in the Documents library until you delete them or request deletion. Files submitted for mailing may also be retained by The Letter Pilot and fulfillment providers for order processing, support, recordkeeping, security, legal, or compliance needs.

Who handles my documents?

The Letter Pilot systems and print and mail fulfillment providers handle documents to store saved files, prepare mailing orders, and provide requested support.

Who processes my payment information?

Stripe processes payment details. The Letter Pilot does not store full card numbers on its servers. See our Privacy Policy for more.

What documents is this service intended for?

The Letter Pilot is intended for basic correspondence and ordinary business mail. Do not upload medical records, PHI, or other regulated or highly sensitive information. We do not offer Business Associate Agreements.

Can I request document deletion?

Yes. Signed-in users can delete saved files from the Documents page. You can also email hello@theletterpilot.com with your account email and relevant order or document details, and we will process a deletion request. Some order records or provider copies may need to remain for active fulfillment, disputes, fraud prevention, recordkeeping, or legal obligations.

Where is Raptive advertising configured?

Raptive advertising is configured for public Guides, Tools, and Templates pages on the production site. Raptive may collect and use data for advertising on pages where its script runs.
